1. Who we are

Fellowship Theological Seminary ("the Seminary", "we", "us") is the data controller for the personal data collected through this student portal. That means we decide how and why your data is processed, and we are responsible for protecting it.

2. What we collect

  • Account data — your name, email address, login credentials, cohort, and profile photo;
  • Academic data — your program, course enrollments, progress, documents, and communications with faculty;
  • Support messages — correspondence you send us;
  • Usage and device data — how you use the portal, device identifiers, and IP address.

Payment details (card numbers, billing information) are collected and processed directly by Paddle, our Merchant of Record — we never see or store your card details.

3. Why we use it

  • To create and manage your account and enrollment (performance of our contract);
  • To provide courses, track progress, and issue academic records (contract);
  • To keep the portal secure and prevent fraud (legitimate interest);
  • To improve our programs and the portal (legitimate interest);
  • To respond to your questions and provide support (contract / legitimate interest);
  • To meet legal and accreditation obligations (legal obligation).

4. Who we share it with

  • Service providers — hosting, analytics, and support tooling that process data on our behalf under contract;
  • Paddle — our Merchant of Record, for the sale of programs, subscription management, payments, tax compliance, and invoicing;
  • Professional advisers — legal and accounting advisers where needed;
  • Authorities — where we are required to do so by law.

5. How long we keep it

We keep personal data only as long as needed for the purposes above. Academic records may be retained longer where accreditation or law requires. When data is no longer needed, it is deleted or anonymised.

6. Your rights

Depending on where you live, you may have the right to access, correct, or delete your personal data; to restrict or object to processing; to data portability; and to withdraw consent where processing is based on consent. To exercise any of these rights, contact the Seminary office. You also have the right to complain to your local data protection authority.

7. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and limiting access to staff who need it.

8. Cookies

The portal uses essential cookies to keep you signed in and make the service work. We do not use advertising cookies. You can control cookies through your browser settings; disabling essential cookies may prevent sign-in.
